We are recruiting on behalf of a well-established and highly regarded business within the machinery and services sector, who are looking to appoint a Service Administrator to join their busy Service Department.
This is a varied and hands-on administrative role supporting the Service Manager, engineers and wider depot team. You’ll play an important part in keeping the Service Department running smoothly, while also providing a professional and friendly service to customers and colleagues.
The role would suit someone who is organised, proactive and customer-focused, with strong attention to detail and the ability to manage a busy workload. You’ll be comfortable
communicating with customers over the phone and by email, confident with administration and financial processes, and happy to get involved across the wider depot when required.
The Role
Your responsibilities will include:
- Providing day-to-day administrative support to the Service Manager, engineers and wider Service Department.
- Handling incoming calls and customer enquiries, ensuring queries are dealt with promptly and professionally.
- Liaising with internal and external customers and providing a high standard of customer service.
- Processing customer account enquiries, payments, statements and other documentation.
- Supporting banking and petty cash administration, including monthly reconciliations.
- Preparing and processing service documentation and checking work orders for accuracy.
- Managing warranty and product improvement claims from submission through to completion.
- Keeping warranty records and the return of warranty parts up to date where required.
- Maintaining servicing and MOT records for depot vehicles.
- Supporting time and attendance administration, including holiday and absence records.
- Reviewing engineer time and job allocations through the company's systems.
- Arranging customer collections and deliveries where required.
- Ordering stationery and general office supplies.
- Carrying out routine checks of fire alarm and emergency lighting systems and reporting any issues.
- Supporting the wider depot team with general administration and other duties as required.
Skills & Knowledge:
- Highly organised with excellent attention to detail.
- Confident managing multiple priorities within a busy environment.
- Professional, approachable and customer-focused.
- A confident communicator across telephone, email and face-to-face interactions.
- Comfortable handling payments, financial administration and reconciliations.
- Experienced in general administration, with good IT and record-keeping skills.
- Proactive and reliable, with a willingness to take ownership of tasks.
- Able to work independently while also being a supportive team player.
- Flexible and happy to get involved across the wider depot when needed.
